What Klouda.app does
Klouda.app is a workforce-management service used by employers and their teams for timekeeping, leave management, payroll review, workplace geofencing, company administration, and team communication. Your employer or organization controls the workspace you use and decides which features are enabled.
Information we collect
Depending on the features your organization uses, Klouda.app may process:
- Launch signup information: your email address and signup consent, used to send a signup confirmation and launch announcement, and to notify our team of new signups. Mailjet processes these emails. To leave the launch list, reply to your confirmation email. Launch signups do not create a workspace account or subscribe you to sales emails.
- Account information such as name, email address, role, position, employment status, and hire date.
- Workforce information such as compensation settings, pay type, time punches, timecard records, leave requests, leave balances, and payroll-review records.
- Workplace location information associated with mobile punches when your organization enables geofencing.
- Device and technical information such as browser or device descriptions, IP-related service logs, authentication events, and error information needed to operate and secure the service.
- Messages, attachments, and other content submitted through team communication features.
- Company account, subscription, and billing status information. Payment-card details are handled by Stripe rather than stored directly in Klouda.app.
Mobile location disclosure
If your employer enables mobile geofencing, your browser may request and refresh your current location while the punch screen is open so Klouda.app can determine whether you are within the employer-defined work area. Klouda.app stores latitude and longitude with the time punch when you submit a punch. Intermediate location checks are used to determine punch eligibility and are not intentionally stored by Klouda.app as separate tracking records.
Location access can be blocked through your browser or device settings, but when geofencing is required, blocking location may prevent mobile clock-in or clock-out. Desktop punches and administrator corrections may be exempt from mobile geofencing according to the service configuration.
How we use information
- Provide authentication, timekeeping, leave, payroll-review, messaging, and company-management features.
- Verify mobile punch eligibility when workplace geofencing is enabled.
- Maintain workforce records and allow authorized company users to review, correct, approve, and archive records.
- Operate subscriptions, prevent fraud or abuse, troubleshoot errors, secure accounts, and maintain service reliability.
- Send operational notifications when configured by the service or your organization.
Who can access your information
Authorized users in your organization may access information according to their assigned role and review responsibilities. Klouda.app also uses service providers to operate the platform, including Railway for hosting, Stripe for subscription billing, and email-delivery providers such as Mailjet where enabled. Map features may load third-party map tiles, such as OpenStreetMap-based services, which can receive ordinary web-request information such as your IP address and browser details.
Data isolation and security
Klouda.app uses organization-scoped access controls intended to keep one company's workforce records separate from another company's workspace. We use authentication, role-based permissions, server-side authorization rules, HTTPS in production, and other technical controls designed to protect service data. No system can guarantee absolute security.
Retention, correction, export, and deletion
Workforce records may need to be retained by your employer for payroll, wage-and-hour, accounting, legal, or audit purposes. Klouda.app does not promise automatic deletion on a fixed universal schedule because retention requirements vary by organization and jurisdiction. Your organization controls many workforce records and should direct employees to the appropriate company administrator for corrections or access requests. Company owners may contact Klouda.app support for account-level export or deletion requests, subject to applicable legal, contractual, security, backup, and record-retention obligations.
Browser storage and cookies
Klouda.app may use browser storage and technically necessary session or authentication mechanisms to keep you signed in, preserve in-progress form data, remember interface state, and operate the application. These mechanisms are used for service functionality and security. If optional analytics or advertising technologies are added in the future, this policy will be updated and any legally required choices will be provided.
Children
Klouda.app is a business workforce service and is not directed to children. Organizations are responsible for ensuring their use of the service is appropriate for their workforce and compliant with applicable law.
Changes to this policy
We may update this policy as the service, vendors, or legal requirements change. The effective date above will be updated when material changes are published.
Questions or privacy requests
Employees should first contact their company administrator for workforce-record questions. Company owners may use the Klouda.app support contact provided with their account or subscription for privacy, export, deletion, or security requests.
